Job Description

Overall Job Purpose

- To catalogue all spares and materials requested by end-users

- To ensure smooth resolution of queries with the end users.

- To maintain and keep records through Pronto Quick Link

Specific Job Responsibilities

- Adhere to all relevant requirements, policies, procedures, and legal regulations pertaining to health, safety, environment, and quality, as well as finance, human resources, and other relevant regulations.

- Catalogue all stock items as requested by end-users in line with established guidelines and procedures.

- Liaise with end-users to ensure that catalogued items are properly described and include all relevant technical specifications.

- Resolve any queries from suppliers relating to item descriptions/specifications by liaising with relevant end-users and checking relevant data/information using manuals/internet.

- Carry out authorized amendments to stock item descriptions, including minimum and maximum stock levels.

- Maintain ongoing stock catalogue updates to incorporate any changes relevant to proper inventory management.

- Compile and provide inventory reports/data for various purposes, such as item usage data required in Forward Purchase Agreements and stock level reviews.

- Review slow-moving and inactive stock to identify possible redundant and obsolete stock for eventual disposal within company procedures.

- Implement inventory system improvements.

- Ensure all related forms are correctly filled out and accurately confirm storage of backups.

- Advise management on inventory problems and recommend system improvements.

- Ensure data integrity in Pronto.

- Perform other duties as assigned by the Supervisor.


Job Specific Competencies

- Proficient in Microsoft Office products (Outlook, Excel, Word).

- Experience with Warehouse Management Software and practices.

- Knowledge of component storage and packing.

- General knowledge of mechanical components and their uses.

- Excellent data interpretation and analysis skills.


Key Job Attributes

- Ability to communicate verbally and effectively with junior and senior officials and suppliers to resolve problems.

- Ability to communicate effectively in writing (email) with end-users, procurement, and suppliers to resolve complex problems.

- Good interpersonal skills essential for dealing with end-users and others to address stock-related problems.

- Ability to read/understand basic technical literature & drawings.

- Understanding the wide range of materials and their uses on site.

- Ability to analyze usage data trends and patterns in relation to set stock levels and recommend changes where necessary.

- Understanding safety, quality, and stockholding implications of new stock items and advising Warehouse management on appropriate storage measures before the new stock is received.

- Ability to work under pressure to create new stock items and initiate the re-order process.


Experience Required

- Five years working experience in various functions of Supply Chain Management.

- Knowledge of materials and equipment generally used in the mining industry.

- Good knowledge of Pronto (or similar ERP systems).

- At least 2 years working in a mining-related job.

- Excellent communication skills.

- Knowledge of component storage and packaging.

- General knowledge of mechanical components and their uses.

- Able to operate warehouse equipment, i.e., forklifts (diesel and electric).

- Knowledge of warehousing processes and procedures such as receiving and issuing, reordering and stock control, stocktaking, material inspection, safety, and quality considerations.

- Excellent data interpretation and analysis skills.


Qualifications Preferred

- Minimum Grade 12 Certificate.

- CIPS Level 4/higher or equivalent qualification in Supply Chain Management.

- Skilled in stock cataloguing and classification systems, such as the Auslang and NATO Coding & Classifications Systems.

- Accounting knowledge required in stocktaking and reconciling stocks and resolving discrepancies between physical stock and Pronto stocks.

- Skilled in the use of Microsoft Office products (Outlook, Excel, Word).

- Membership of the Zambia Institute of Purchasing & Supply.
